Free Microsoft Office Alternatives

Free productivity software can be essential for South African students, parents, and small business people who do not want to shell out for Microsoft 365. The question is which office suite fits their offline use, file compatibility, privacy, and low data use needs — and doesn’t require a cloud promise from Microsoft.

Offline-first options: LibreOffice and ONLYOFFICE

LibreOffice and ONLYOFFICE offer the most robust free options that can be used fully offline. Local use is essential for users with connection challenges, limited data, or a preference for not sharing personal information in the cloud.

LibreOffice does not collect data by default and can be used offline in isolated environments. Documents stay on the local computer until the user uploads them. LibreOffice 25.8 officially describes maintaining “zero telemetry” and is free to download and use.

ONLYOFFICE describes its free desktop editors as usable on Windows, Linux and macOS, and states that the free home-use offer is fully open source. ONLYOFFICE’s free edition emphasizes cross-format compatibility with docx, xlsx, and pptx without uploading any user data to the cloud. ONLYOFFICE also offers cross-platform compatibility and states that at-rest, in-transit, and end-to-end encryption are included in its Docs product.

Microsoft’s free route: browser-only with Microsoft Account login

The Microsoft route is cloud-first with its free web and mobile apps. These applications are available online, or can be set up with Microsoft Office in a browser. The Microsoft free version sets up a Microsoft account and gives the user 5 GB of online storage. Any files created with the free web versions of Microsoft Word, Excel, or PowerPoint apps are automatically saved to OneDrive to be accessed on a Microsoft account. The online only limitations of the free tier use more data than LibreOffice and ONLYOFFICE, in which most operations stay on the local machine until the user saves files to the cloud.

What this means on a slow or capped connection

For users with essential offline capabilities and maximum data control, LibreOffice and ONLYOFFICE present strong free options, as both let users perform most work offline and limit the scope of data that must be sent over the airwaves. Both suites keep files on the local machine until the user manually chooses to upload or even send them, making them ideal for users frustrated by limited data caps and upload costs.

Microsoft’s free option is also the only one that does not let users use conventional Windows desktop workflows.

Which one to choose

For those prioritizing offline options, LibreOffice’s maturity and feature set in a wholly offline package make it a better option, while ONLYOFFICE makes the most effort to assure Windows, macOS or Linux users who still want the Microsoft-made file formats docx, xlsx, and pptx.

The Microsoft scale, meanwhile, offers limited free mobile and web access that can be uploaded to OneDrive, but will eventually cost South African users more time and data.
